SAP® License Compliance Probe

The SAP® License Compliance Probe is intended to ensure that SAP customers can manage their SAP assets effectively, portray corporate transparency with regards to license compliance, and reduce the overconsumption of software.

Traditionally, annual SAP License audits are based on customer self-declarations and automatic measurements that customers perform. However, SAP retains the right to request additional information or to expand the audit when specific indicators have been discovered within the defined scope.

The SAP® License Compliance Probe not only addresses customers’ employees use of the SAP Digital Core (i. e., SAP ERP, SAP S/4HANA, and SAP S/4HANA Cloud), but also any form of Indirect/Digital Access taking place when their business partners, consumers, third-party applications, IoT devices, automated systems, and RPA/bots also use the SAP Digital Core without directly logging into the system.

ERP Use Scenarios from SAP's Indirect Us

SAP ERP Use Scenarios

The SAP License Compliance Probe aims to determine if SAP software is “used,” regardless of whether usage is made through direct or indirect access or if there is an appropriate license for such use.

In addition to the traditional basic audit scope, the SAP License Compliance Probe focuses on the new outcome-based SAP ERP Pricing for the Digital Age. This new pricing model accounts for all forms of indirect and digital access, including access from IoT devices and bots.

When Should the Service Be Used?

The SAP® License Compliance Probe is most applicable for organizations seeking to:

  • Reduce the risk of an unexpected overuse of SAP software licenses.

  • Avoid disputes and unplanned expenditure hitting bottom lines.

  • Be prepared for converting to the new SAP’s Digital Access license model.

  • Detect and optimize SAP indirect usage.

  • Be ready for or execute an SAP License Audit.

Service Scope

The SAP License Compliance Probe will generally include the following steps:

  1. System measurement planning (systems relevant for the audit).

  2. Verify measurement parameters for each system (system status, price lists, …).

  3. Classify users & exclude obsolete users.

  4. Perform system measurement:

    • Use of measurement programs to determine the number of direct access users and the chargeable objects of software engines for each system.

    • Use of the new SAP Indirect Access Audit approach to verify indirect access scenarios.

    • Assess additional information on non-system-based metrics.

  5. Group and consolidate users using SAP License Administration Workbench.

  6. Review and report license measurement results.
